References in this policy to ‘LFBWF’, ‘we’, ‘us’ and/or ‘our’ refer to The London Fire Brigade Welfare Fund.
Keeping your personal information safe is very important to us. We are committed to complying with privacy and data protection laws and being transparent about how we process personal data.
We have policies, procedures and training in place to help our employees and voluntary representatives understand their data protection responsibilities and follow the data protection principles.

This privacy policy relates to the use of the personal information we process.
We process personal data about the LFBWF’s stakeholders – Members (including membership applicants), their nominated beneficiaries and/or their guests at events. We also process the data of online shop users, who may not necessarily be members.

What personal data do we process?

- LFB station/department
- Photos for publication in the membership magazine
- Bank account details (For the receipt of death benefit, lottery winnings, hardship loan & recompense)
- Wage slips, bank statements (Application for a hardship loan)
- Beneficiary details & death certificate (Death benefit claims)
We also use third-party service providers to manage our communications, surveys, payments and shop orders. These providers may collect technical data as part of your interaction, such as your device type, browser, operating system, IP address, internet service provider and geographical location.
Membership Applications and Administration
We collect data from the information you provide to us when you make an application to become a member. This may include details of your nominated beneficiary should you be eligible for the death benefit scheme. You should provide a copy of the information in this policy to the nominated individual.
We check data about your current LFB serving/pension status with The London Fire Brigade and/or Local Pensions Partnership Administration (LPPA) to ensure you are eligible to be a member.
We use the services of third-party providers to distribute the Welfare Fund Magazine to you and to manage life assurance claims under the death benefit scheme.
The legal basis for processing the data is contractual and to enable us to provide the services and benefits as part of the membership.
Lottery
If you sign up to the LFBWF lottery, we will instruct either the London Fire Brigade or Local Pensions Partnership Administration (LPPA) to take regular payments.

Should you be chosen as a winner in the monthly draw, your name is published in the Welfare Fund Magazine.
Volunteers
If you volunteer to be an LFBWF representative either for your station, department, Area Command and/or Sports Section, we may collect your data from the relevant committee and publish your contact details in the Welfare Fund Magazine and website, as a point of contact for the membership.
Your contact details are only published with your consent.
Organised Events
Organised events and activities attended by members and their guests are either arranged by the LFBWF central office and are open to the whole membership base, by LFBWF representatives of each Area Command, by LFBWF representatives of each Sport Section and at times by individual LFBWF members.
Personal data is only collected for the purpose of organising an event. It may, on occasion, be necessary to share some personal details of the attendees with a third-party service provider responsible for hosting an event, should it be necessary for their operational purposes. The data is never shared for the purpose of marketing services to you.

Media
If you attend an LFBWF organised event either as a member or a guest, you will be entering an area where photography, video and audio recording may occur. The result from which, photographs may be used for event write-ups and included in the Welfare Fund Magazine and/or website.
We use a third-party service provider for the production of the paper and online magazine publication.

Merchandise & Events
If you purchase merchandise or tickets for an event from either our online shop or by calling us, we will use the information you provide to fulfil your order. The processing of card payments is via WorldPay. We utilise the services of the ecommerce platform WooCommerce to manage your online order.

Recompense
We will collect your bank account details and receipts for claim(s) that you are entitled to be reimbursed for in line with our grant distribution and expenses policies (where applicable). Any monies paid directly to you are either made by the LFBWF central office or by an authorised LFBWF representative.

Donations
We collect basic contact details of individuals who kindly make one-off donations to the LFBWF. We retain your name indefinitely to maintain historical records.

Surveys
If you take part in one of our surveys, we will enable you to access a description of the personal data to be collected and its purpose, before you proceed. We do not share personal information with other organisations. Survey results will be anonymised before being shared or published.

Communications
The LFBWF promotes membership offers and events through its social media pages (Facebook & Instagram), as well as regular emails. Some members may also receive communications directly from LFBWF representatives if they have consented to receive these when liaising at a local level.
On occasion, we will send communication emails to all members when the content is of legitimate interest to the membership base.
Third-Parties
We do not sell or rent your information to third parties for marketing purposes.
We only disclose personal data to third-party data processors for the purposes of fulfilling your membership and we have contracts in place that require them to keep your information secure and not to use it for their own direct marketing purposes.
Some of our third-party service providers use servers based outside of the UK and are registered with the Data Privacy Framework Program.
Data Retention
Personal data is only retained for the duration of your membership, with the exception of some financial and/or insurance information that we are legally required to hold to fulfil our statutory obligations. We review our retention periods for personal information on a regular basis.
